Ela_hara, that sounds like a great idea. I ended up emailing Susie to give her a heads up on Melodys PYO just for peace of mind but nobody else really had that luxury.

December 28, 2017 at 8:08 am #1533644Ugghhh…. I just wrote a long post suggesting some new rules and criteria for future swaps, and I somehow got logged out when I posted it? Oh man ):
Basically, I think swaps could benefit from some more concrete rules. Maybe some simple requirements that a member must fulfill before joining (and I do mean simple: a minimum time registered as a user (30 days?), and a minimum number of posts in an amount of time (three posts in 30 days?), and that they must be in good standing/they cannot have flaked on a previous swap to join.
Also, I think it might be nice to make it a requirement that people post “thank yous” with photos, so we all get to enjoy the eye candy ^^
These are just suggestions, of course! Something for us to chew on 🙂
December 28, 2017 at 4:23 pm #1533659Generally it has been mostly (I guess “senior members” is a somewhat appropriate term?) who have run the majority of the swaps, meaning those of us who have been with the forum for a good amount of time. At least the PYO swaps. Gift swaps and things of that nature I’m not sure, but Zexious’s suggestions are certainly a good place to start.
I wasn’t going to participate in the swap to be honest (I haven’t in some time now due to lack of time really) but I was basically told I had to do it. (which was probably the little kick in the behind I needed to get something painted for the first time in a while, which was nice) but to be honest, between repairs and working two jobs I really don’t have a ton of time to be painting so I can host an unbiased swap for you guys (since I won’t paint or receive anything anyway)
dragonmedley, you know you’re always free to PM me if you need assistance with anything like that. I may not post as much as I used to, but I have not and am not going anywhere anytime soon. There’s time to iron out the details of course, we probably won’t run another until spring/summer anyway I would imagine.

Again, I want to say that I am not trying to say anything happened in this particular swap that was out of sorts, but as someone coming back from a pretty long break from the forum, this particular swap has not been a great experience and is not something I want to take part in again.
I do NOT want a new person on the forum, or someone new to the PYO world in general to have the experience I did with this swap.
If I was a brand new forum member, this is what I would have seen:
I joined a swap, painted my piece, sent it out (a little late), and never got anything back. (That’s right – I have NOT RECEIVED a swap piece).
I found out that the organizer of the swap got a piece painted by Melody, the creator of Windstones in general, and it was never posted as part of the swap.
I never got any type of communication from the organizer of the swap at all beyond “this is who you are painting for”. I do not know who was supposed to paint for me, if they forgot, if it’s late, or if it’s not coming at all.Again, if I were brand new to the forum and I had this experience, I would be done. That really, really sucks. It sucks enough that this is how I feel about my experience with it this time, but it’s really not fair to ask a new person to understand and come back again.
I really think there should be some more solid rules for swaps too, and I think some of the suggestions are great.
I do think that if you are running a swap for the first time, you should not get the benefit of getting a piece painted by Melody right off the bat. Honestly, I think if you run a swap you should have to show your worth before you get that benefit (and it certainly still should be a luck of the draw, not a guarantee). Personally I think if someone runs a swap 3 times and proves that they are trustworthy and run it well, they deserve it if they pull Melody’s name. I realize not everyone will agree with me on this, it’s just my personal opinion.
I really would like to see a list (I think DragonMedley might have one) where people are held accountable for painting their swap piece, and acknowledging that they got their swap piece. People who don’t do either of those should not be allowed in swaps.I participated in the Reddit Secret Santa this year and I really liked their rule set. It’s quite simple, but seems to work fairly well. Of course, sometimes people are just in it for themselves and don’t send a gift but get one – and that’s it for them. They are banned from the Secret Santa forever onward if they do that. I think adopting such a thing here should happen.
I’m happy that the person who got the piece I painted really liked it. I won’t be heartbroken if I don’t get a piece in return, but I don’t think the person assigned to me should be allowed in swaps anymore if they never bother to paint a piece (and by the way, if you are my swap partner and you are just running late – THAT’S OK!! Seriously I am not mad at you if that’s the case! And I would really appreciate a message so I can stop worrying about it!).

But because of the New Year Holiday fast approaching, I wouldn’t be surprised if next Tuesday is a possibility.
And I believe the persons still waiting for their Swaps are me (Ela_hara), Bodine, Hannah and dashesndots… Did I miss anyone?
And I do like Hannah’s suggestion of a quick PM to let us know that the swaps were indeed shipped and a potential date to look out for them to deliver. THANKS GUYS!!!

I think a list of “no participation” on those folks that don’t fulfill their obligations,exception: if they are under harsh circumstances and couldn’t but they must contact organizer so someone else can step up,is a very good idea for all swaps.

Whatever the cause (slow post office? something in the air?), the problems with the gift swap and PYO swap this year are NOT the norm.
Shortly after Thanksgiving my local post office guy said that they were overwhelmed with packages from Amazon, and I think it stayed that way through Christmas. Maybe all the online free shipping really slowed things down.

I know it use to be a feature, but I don’t think it is anymore? So I don’t believe that could be utilized in this situation, although it’s a great suggestion.
I don’t really feel like we had a host at all in this swap honestly. It’s rather disconcerting how we haven’t heard from the host since the 15th. Also unclear why two host names were listed by the second didn’t seem to be involved?I wonder at what point would it be alright for those that have painted, but haven’t sent (or have sent), to just say whom they painted for and the status of their swap piece.
It might be beneficial for those on the above list that has the question mark to say if yes or no, their swap piece has been sent. I know a couple have mentioned illness and delayed shipping.

December 29, 2017 at 9:38 pm #1533702Thanks for bringing some of these things to attention Hannah and others as I agree. For starters if I had joined this swap I would have been excited to see if I would possibly get Melody’s piece so to know it was assigned to the organizer from the start is discouraging to know I wouldn’t have even had a chance at it. A few other things brought up here are some of the reasons I haven’t participated in these pyo swaps for a while now even though I wanted to. For one thing wasn’t there a rule before that you had to send a picture of your swap piece to the host a few days before shipping to make sure it was almost ready to be mailed and if it wasn’t ready to be mailed by the ship date that you were out of the swap and that your partner was matched with someone else instead? That happened to me once where due to unforeseen circumstances I wasn’t able to get mine done in time and I was out of the swap, not given more time. It would have been nice to have a bit more time, but I understood the rules and backed out gracefully. I realized it wasn’t nice to keep others waiting unless everyone maybe agreed to extend the time if a few people couldn’t ship by the right date. But to see a swap like this where people are suddenly allowed to ship their pieces more than a couple weeks later than the ship date I don’t think is fair to anyone.
I think everyone should have been accountable for giving a tracking number to the host when they shipped and that the host should have passed on those tracking numbers to everyone involved. To have people not even knowing if someone painted for them at all or if they are going to get something is not fair to those people and the host should be responsible for keeping track of all the pieces painted. Also for people to not thank the person who painted for them or not post a picture if they got something is not very gracious either. I agree other swaps seemed to go a lot more smoothly when they were organized well and there were set rules. If I were to try and join another swap in the future I would make sure that I was prepared to have the piece ready by the deadline or I wouldn’t join. I do understand some of the things that happened to people this time that held things up and sometimes bad things happen to good people unfortunately. I know as I have gone through a lot in the last few years too but I think how you handle things and your attitude and trying to stay positive and keep your commitments makes all the difference or at least trying to communicate what’s going on with people instead of disappearing.
